Position: Service and Parts Manager (Customer Pay + High-Volume Recon Operation)

Location: Rockford, IL

Position Summary:

A successful, high-volume independent automotive Service Center , specializing in automotive reconditioning , is seeking a Parts and Service Manager to take its fixed operations to the next level. The facility currently recons over 150 vehicles per month for multiple dealerships and is expanding into customer-pay service. As the company expands into customer-pay services, it is seeking a high-performing Service and Parts Manager to lead the existing team, optimize current systems, and scale operations for the next phase of growth. The company is well-established, growth-oriented, and is invested in modern tools and technologies to drive the business such as Rapid Recon, Dealertrack, VinSolutions, and ProMax.

This is a great opportunity for a dynamic Parts and Service Manager to lead the existing team and scale operations into the future. It is important that the person hired has experience in fixed operations and automotive reconditioning and is a hands-on, tech-savvy leader with strong operational skills. The successful candidate will ensure accountability through tools like Rapid Recon, and take ownership of both reconditioning performance and customer service expansion — while also overseeing all parts operations, sourcing, inventory control, and vendor management.

Key Responsibilities – Service Operations:

  • Lead daily operations of the recon and service department, including warranty and after-sale repairs
  • Manage team performance across technicians, porters, and detailers using established KPIs
  • Leverage Rapid Recon to monitor and improve recon speed and transparency
  • Ensure accurate and timely use of Dealertrack, VinSolutions, ProMax, and other shop systems
  • Reinforce accountability through EOS practices and weekly meetings
  • Hire, train, mentor, and retain team members; ensure proper staffing and coverage
  • Promote a safe, clean, and organized shop environment in compliance with OSHA regulations
  • Participate in continuous improvement and root-cause problem-solving efforts
  • Plan for future production capacity and the launch of customer-pay repair operations
  • Monitor repair order quality, accuracy, and legal compliance

Key Responsibilities – Parts Operations:

  • Oversee all parts operations related to reconditioning and service work
  • Source, order, receive, and track parts with accuracy and efficiency
  • Maintain proper inventory levels while minimizing obsolete or excess stock
  • Ensure all parts are billed correctly and tied to corresponding repair orders
  • Build and manage strong relationships with vendors and sublet partners
  • Train and supervise parts staff; implement coverage plans and cross-training
  • Analyze parts margins, core returns, and performance metrics
  • Support warranty claim processing, returns, and manufacturer part policies

Qualifications:

  • 5+ years managing service and parts teams in automotive recon or fixed operations departments
  • Prior use of Rapid Recon, Dealertrack, VinSolutions, and/or ProMax is a big plus
  • Familiarity with the Entrepreneurial Operating System (EOS) model is a plus
  • Strong communication, organizational, and problem-solving skills
  • Valid Driver’s License

Compensation and Benefits:

  • Competitive compensation package in the $120,000 - $140,000 range based on experience and performance.
