Job Description

POSITION: ASC/Practice Administrator

DEPARTMENT: Administration

REPORTS TO: Physician Owner

JOB SUMMARY: Is responsible to the Physician Owner and the professional corporation for the administration, direction, and coordination of all surgery center/practice activities except those directly involving professional medical judgment.

EDUCATION AND EXPERIENCE:

1. Applicant should have extensive managerial experience, preferably within the health care industry.

2. He/she should have at least 10 years of work experience as an Administrator of a Clinic and ASC.

3. This candidate must have a bachelor's degree in healthcare administration or accounting. Master's Degree a plus.

The candidate should have a working knowledge of standard accounting principles and have budgetary experience.
The candidate should also have a working knowledge of computers. Experience with a fully integrated medical office software package.
In addition, the candidate should have experience in negotiating general business contracts.

Essential Skills and Abilities:

1. In addition to the quantitative and analytical skills, the candidate must possess the ability to express himself/herself in writing and orally with clarity and tact.

2. Familiarity with taxation, professional corporations, and managed care contracting issues is necessary.

RESPONSIBILITIES:

1. Business Plannin g

Maintain an organization and communication system with the specific objectives of enhanced operating efficiency.

Work on recruitment and development of a medical staff consistent with the goals set forth in the business plan.

Serve as primary interface with business consultants (legal, accounting, management consultants) to the practice.

3. Financial Operations

Assist accountant, and outside accounting/consulting firms in preparation of an annual budget.

Provide direct supervision of the staff accountant(s).

Develop format for optimally useful monthly financial and management information reports.

Review and analyze monthly financial statements of the practice and surgery center. Ensure completion of the financial statement package

within 30 days from the end of the previous month.

Analyze the cost/benefit ratio and feasibility thereof of special situations or opportunities for the practice.

Provide direct or indirect approval of all practice expenditures.

Work with outside accounting or consulting firm to develop appropriate internal controls.

Institute a cash management program to maximize return to the practice/center.

Maintain an efficient purchasing system.

Monitor the billing and collection process in order to facilitate a healthy turnover of accounts receivable.

3. Personnel Management

Provide approval on Recruitment, hiring, and dismissal of all personnel.

Supervision, including preparation and monitoring job descriptions, salary reviews, and personnel evaluations.

Maintenance of employee files and records.

Develop an appropriate management infrastructure in order to improve communication and efficiency. This position does provide direct oversight of all of the Managment Team (Billing Manager, Front Office Manager, Head Technicians, Research Manager, Marketing Manager/Operations, Refractive Manager, Director of Nursing, Satellite Manager, OD Liaison, Staff Accountants).

Organize regular meetings of the management team and office personnel.

Set up protocols and staff meetings for continuing education of staff.

4. Corporate Overview

Monitor practice fringe benefit programs.

Oversee all insurance coverage, including malpractice, office contents and liability, life, disability, and business overhead (for the physicians), as well as any other practice related policies.

Oversee the computer system of the practice to ensure maximum utilization and increased practice efficiency.

Conduct periodic reviews of management personnel who report to the position.

Provide oversight and negotiate contracts with the managed care plans.

Develop and maintain quality assurance guidelines so as to ensure compliance with third-party payers.

Oversee day-to-day operations of a busy ophthalmic practice.
Manage staffing, scheduling, HR compliance, and team development.
Ensure regulatory compliance with HIPAA, OSHA, and other healthcare regulations.
Collaborate with physicians and clinical staff to optimize patient care workflows.
Lead budgeting, financial reporting, and cost control initiatives for both clinic and ASC.
Identify and implement process improvements to enhance patient satisfaction and operational efficiency.
